Froedtert Health is seeking a Manager, HIM Scanning Operations.  This position is responsible for organizing, planning, scheduling, integrating, monitoring and controlling all scanning activities for the HIM department and managing and coordinating overall Froedtert Health scanning needs. Has direct responsibility for managing the HIM scanning operations along with key projects delegated by the HIM Director for all paper medical record needs throughout the organization. Acts as Operations Administrator for EDCO and OnBase Scanning Solutions. Manage assessment, build, implementation and optimization of third-party scanning solutions. Serves as the HIM scanning liaison to Froedtert Health departments for issues related to scanning needs. Assist with evaluating compliance with The JC standards for Record of Care and Information Management.

Job Description

  1. Manage scanning operations by providing daily oversight, direction, and support to the HIM team.
  2. Develops corporate and departmental policies and procedures that govern scanning processes within Froedtert Health departments.
  3. Manage scanning operations at all facilities to meet all Joint Commission and state and federal regulations.
  4. Lead enterprise scanning standardization efforts to ensure all scanning functions and projects are completed in a timely and accurate manner.
  5. Collaborate with HIM leadership and other operational stakeholders to ensure workflows and system build are compliant with HIM best practices, Legal Health Record requirements, organizational policies and procedures, federal and state regulatory requirements, CMS, and Joint Commission accreditation standards applicable to the content and integrity of the electronic health record (EHR).
  6. Demonstrate, through plans and actions, a consistent standard of excellence to which all departmental work is expected to conform
  7. Evaluate processes and procedures and coordinate with others to ensure workflows are efficient and adhere to federal and local laws and regulations.
  8. Assist director with HIM Scanning budget.
  9. Responsible for remote, hybrid, and onsite staff performance and employee engagement, including hiring, training, coaching, and corrective action
  10. Manages scanning vendor contracts, partners with vendors to ensure vendors are meeting agreed upon terms.
  11. In addition to the job responsibilities above, other duties may be assigned.

Required Qualifications

A minimum of 3 years of progressive, broad-based HIM experience with a special focus on scanning or imaging of medical records is required. Previous HIM management experience with an electronic health record is required.

Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) is required. Active membership in the American Health Information Management Association (AHIMA) with ongoing completion of current continuing education requirements is required.

Preferred Qualifications

3 years experience in an academic healthcare system with an electronic health record in a complex, integrated setting that is fast-paced with multi-disciplinary services is preferred. Prior experience as an HIM Manager of scanning services within an HIM Department and prior Epic and OnBase experience a preferred.

Education Qualifications

Bachelor Degree is required. In lieu of a Bachelor’s Degree an Associate’s Degree in Health Information Technology and 3 additional years of HIM work experience is required. Bachelor’s Degree in HIM is preferred.
