Job Description

Position Summary:

The Supervisor for Deficiency Management and Record Integrity Audits, under the direction of the Manager, HIM Operations, is responsible for providing daily operational oversight of the Deficiency Analysts for The Johns Hopkins Hospital and Bayview Medical Center, within the Johns Hopkins Health System.  The Supervisor for Deficiency Management and Record Integrity Audits serves as the immediate supervisor and authority for the Deficiency Analysts.  The Supervisor will monitor the Epic work queues and Transcription workflow, make work assignments, and ensure timely processing of work.

 

The Supervisor will ensure accurate processing of work to ensure physicians receive accurate information related to incomplete records and missing dictation.  The Supervisor will be responsible for timely and appropriate communications with physicians, in accordance with the Medical Staff Rules and Regulations, and Joint Commission standards related to the Record of Care Chapter.   The Supervisor will recommend, implement, monitor, and report results for record integrity audits to the HIM Operations Manager that reflect content, quality, and timeliness of documentation.

 

The Supervisor will create staff schedules, manage PTO requests, and monitor attendance, to ensure adequate staffing to meet demands of work volumes, and turn-around time requirements.   The Supervisor will manage time-keeping based on the payroll schedule. The Supervisor will perform regular employee productivity and quality audits, mid-year, and annual performance appraisals.  The Supervisor will create a customer service environment to ensure the highest levels of service to all customers.

 

Education:

Bachelor or Associate’s degree in Health Information Management preferred.

 

Required Licensure Certification, etc.
Track 1: RHIA with HIM work experience in areas of supervision required. Supervisory experience preferred.
Track 2: RHIT with supervisory experience required.

 

Work Experience: 
As noted above.  Experience with electronic HIM workflows and strong familiarity with electronic medical record content. Must demonstrate attention to detail, and the ability to analyze large volumes of data and information.  Prior experience managing Dictation/Transcription systems preferred.  Record Audit experience preferred.  Must demonstrate team-building experience, and process improvement concepts, to positively influence the work environment.

 

Knowledge/Skills:

  • Ability to demonstrate in-depth knowledge of state and federal regulations, as well as accreditation standards, regarding patient record content.  Operational knowledge of the clinical and administrative uses of the patient record.
  • Provides supervision and oversight for deficiency workflow and ensures timely review via work queue and dashboard monitoring.
  • Oversees deficiency management activities related to physician notification and sanctioning with regard to record deficiencies.
  • Communicates record deficiencies with physicians utilizing e-mail and phone calls
  • Prepares reports of incomplete and delinquent medical records for distribution to appropriate hospital administrators
  • Prepares record integrity audit reports to be shared with upper level administrative and faculty members as well as hospital committees and workgroups.
  • Serves as an expert in deficiency management for direct reports as well as non-HIM employees or staff members seeking information.
  • Requires analytical skills to analyze performance data and regulatory requirements.
  • Provide leadership to drive operational excellence using performance metrics for individual quality and productivity
  • Analyzes individual productivity and provides performance reports as defined in the performance monitoring program to individual employees and Manager
  • Conducts individual quality audits to ensure the highest level of accuracy
  • Provides regular feedback from quality audit results to employees and Manager
  • Coaches and supports individual performance, which impacts division and organizational goals
  • Applies employee engagement strategies to increase employee engagement and retention.
  • Assists with holding employees accountable for individual performance metrics.
  • Proactively manages, communicates, and escalates barriers, successes, and status of projects
  • Develops employee schedule, and approves or denies requests for time off to ensure adequate staffing levels to support established goals
  • Collaborates with HIM Coding Operations to obtain documentation necessary for accurate and timely coding.
  • Ensures proper flow of transcribed documentation and responds and researches transcription-related inquiries.
  • Assists with the development and delivery of ongoing education related to deficiency management and record integrity reviews.
  • Assists with the development of new hire orientation and initial training.
  • Provides regular feedback to Deficiency Specialists to ensure high quality of all performance indicator benchmarks, as outlined in the performance monitoring program.
  • Proactively reports status of projects, barriers, and successes.
  • Creates staff schedule, and approves or denies requests for time off, to ensure levels of staffing support established goals
  • Maintains, calculates, and reports bi-weekly attendance of Deficiency Specialists for payroll and personnel purposes.
  • Maintains routine communication with staff to inform of department operational updates, scanning updates, and/or procedural changes.
  • Provides regular updates to Operations Manager regarding individual and team performance, concerns related to process and technology, and ideas for improvement
