DEPARTMENT SUMMARY: The Health Information Management Departments provide many services to our multi-hospital organization including: prepping, scanning and indexing, physician deficiency analysis, release of information, medical record maintenance and facility & profee coding.
POSITION OVERVIEW: The HIM Facility Coding Supervisor at St. Charles Health System is responsible for converting diagnosis and procedures for facility services – into appropriate codes using ICD10 as well as completing day-to-day administrative tasks. The main focus will be to oversee the coding processes and serve as a resource to other coders, helping foster staff development, satisfaction, and achievement. This role will also act as a liaison between coding personnel and other staff groups – from clinicians to staff responsible for authorizations, billing, and denial management, as well as leadership. This position directly manages caregivers in Health Information Management and may be asked to review and provide feedback on the work of other caregivers.
ESSENTIAL FUNCTIONS AND DUTIES:
Supervises and coordinates designated facility coders daily activities.
Arranges orientation and on-going training for designated caregivers.
Assists with policy and procedure updates and participates in process improvement projects.
Advises Director of staffing updates/summaries of quality measurements and productivity.
Creates and monitors productivity and quality standards.
Approves ETO and arranges coverage.
Knowledge of ICD-10 diagnosis and procedure code assignment.
Knowledge of CPT-4 Levels I (procedure), II (supplemental services) code assignment.
Knowledge of Modifier and Revenue code assignment.
Knowledge of CCI edits and APC grouping.
Coordinates workflow as necessary between the coders and the Clinical Documentation Integrity specialist, as appropriate.
Trains new coders on the Clinical Documentation Integrity Program, as appropriate.
Assures efficiency and effectiveness of liaison activities between the coders, case managers and Utilization Review.
Works closely with any contracted outside coding services on scheduling and billing accuracy. Including monitoring productivity and quality to assure compliance with SCHS standards and the terms of the service contract.
Works closely with the Single Billing Office on; combining accounts, medical necessity issues, claim denials and Charge Master issues.
Hires, leads, coaches, and monitors the performance of all direct reports, to develop and maintain a high-performance team that meets organizational and department goals.
Monitors and ensures all direct reports are current with compliance and safety requirements.
Supports the vision, mission, and values of the organization in all respects.
Supports Lean principles of continuous improvement with energy and enthusiasm, functioning as a champion of change.
Provides and maintains a safe environment for caregivers, patients, and guests.
Conducts all activities with the highest standards of professionalism and confidentiality.

May perform additional duties of similar complexity within the organization, as required or assigned.
Required: Must possess a valid Registered Health Information Technician (RHIT) certification or one or more of the following: RHIA, CCA, CCS, CCS-P, CPC, CPC-H, CPC-A. This position will require the caregiver to maintain required educational credits (CE) through AHIMA or AAPC. Must have a valid Oregon driver’s license and ability to meet St. Charles Health System driving requirements. Ability to travel to all St. Charles Health System worksites
Required: Three to five years coding experience in an acute care hospital setting with thorough knowledge of ICD-10-CM, CPT, DRG’s, and APC grouping, abstracting, and grouping software required. Ability to lead and mentor effectively. Must be team oriented.
Preferred: Previous supervisory experience
Required: Minimum of an Associate’s Degree in Health Information Technology. Graduate of an AHIMA Accredited Health Information Technology program
Preferred: Additional training or education in medical coding.
