Job Description

The HIM Operations Supervisor is responsible for the hospital inpatient and outpatient departments, and long term care facilities oversight and management of medical record forms, content, storage, retrieval, retention, privacy and security and release of information.  Specific duties include but are not limited to overseeing and directly supervising HIM Operations which includes Document Management/Imaging (DMI), Release of Information (ROI), Regulatory Specialists, and LongTerm Care HIM processes, for timeliness, accuracy, and productivity as well as supervising all of the teammates who perform these functions at all applicable UNC Health Blue Ridge locations.  Specific job duties include but are not limited to: interviewing, hiring, orienting, training, monitoring, appraising, coaching, and/or counseling the HIM Operations teammates. Assigning daily tasks,  monitoring applicable DMI queues, ensuring achievement and reporting of TATs, quality and productivity levels for each function and each care team member, creating/maintaining policies and procedures, job descriptions, and competencies, completing payroll tasks, conducting continuing education as applicable, performing annual evaluations, ordering/maintaining supplies for HIM, conducting quarterly compliance audits for ROI, working patient amendments, and coordinating internal and external audits.  Serves as organizational medical record forms expert and coordinates forms for accessibility, bar-coding, and updating.  Actively involved in Lean/A3 activities for HIM and the organization.  This position works closely with all teammates within UNC Health Blue Ridge and local Healthcare providers.


Required Qualifications

Education:             Associates or Bachelors degree in a healthcare-related field required.

Experience:            Minimum 2 years acute-care hospital HIM experience required.  Previous supervisory or management experience preferred.

License/Registration:    AHIMA credential preferred but not required

Other:    Must be proficient with basic office equipment, including scanner, PC, printer, copier, and encoder

Must have excellent, professional, and positive interpersonal, verbal and written communication and presentation skills

Must be able to work with others as a team to reach department, facility, and organizational goals

Must be able to inspire, lead, mentor, and manage a diverse care team, including those who work remotely

Must able to think critically and creatively to positively problem solve

Must be able to use LEAN principles and tools to improve processes

Must complete tasks with integrity and compliance

Must have outcomes that comply with all applicable release of information and HIPAA rules, regulations, laws, etc.

If no election is made upon hire all new hires and rehires will be automatically enrolled into a deferred 3% contribution rate. All teammates may choose to elect, change, or opt out contributions at any time by reaching out to the HR office. After one year of service and 1,000 hours worked, UNC Health Blue Ridge will match .80 cents for each dollar contributed, a minimum 3 percent and a maximum 5 percent of your gross salary. The match is calculated on a per pay period basis. $1.00 = $0.80 so if you contributed $20 biweekly, UNC Health Blue Ridge would match $16.00

In the event that the teammate fails to select the investment option for the plan, they will be defaulted into an investment option (see chart below) that will be used for any contributions received on behalf of the participant plan on or after March 15, 2016 and does not have investment elections on file with the Service Provider. To the extent that a participant’s date of birth has not been provided to Service Provider at the time an account is established, the participant’s contributions will be invested in the model below corresponding to an age of 99 years until the participant changes such investment election.

  • Paid Time Off (PTO): Certain eligible teammates earn PTO based on length of service and FTE standard. Total accrual may not exceed 240 hours. Unused PTO hours may be carried over to the following year. PTO may be used for vacation, holidays, personal reasons and sick days for illnesses/injuries.

  • Tuition Assistance: Policy and application attached. We award up to $3,500.00 a year. Must be a degree program of benefit to the hospital or a professional certificate that is consistent with the individual’s career plan taken from an Accredited College/University. A committee reviews the applications and decides on who is awarded.
