First-line supervisory position typically responsible for supervising HIM operations employees who are providing a variety of secretarial and clerical/office support services; position requires considerable knowledge, experience, judgment, and ability to resolve problems related to clerical responsibilities of a work unit.

Job Description


  • In collaboration with the HIM management team, plans and monitors daily operations and ensures adequate coverage of HIM tasks in order to meet organizational service needs
  • Works with HIM Operations Manager to develop workflows and contingency plans for each function of the department to assure timely and accurate completion of work
  • Continually monitors and evaluates workflows and output, apprising Manager of any need for systems adjustment, updates and/or improvement when necessary
  • Provides orientation, training, oversight and mentoring to HIM Operations staff engaged in all aspects of medical record maintenance; document imaging, data integrity/EMPI maintenance, transcription QA, deficiency analysis and physician notification; release of information; birth certificates, and information storage, retrieval and retention
  • Determines priorities, maintains schedules, and assigns work as required
  • Participates in staff selection, on-boarding, off-boarding, and other matters affecting their employment
  • Consistently delivers employee evaluation, feedback, recognition, and disciplinary action as needed; develops leadership capabilities in team members
  • Reviews work for accuracy and conformance with departmental policies and procedures
  • Tracks and monitors production goals and standards
  • Prepares and distributes formal correspondence, meeting agendas and minutes, departmental publications, and statistical or annual reports as requested
  • Performs customer service duties as needed; actively listens to patient/customer concerns, complaints, issues and grievances to achieve satisfactory response/resolution at point of contact
  • Assists Manager in developing, revising, and maintaining department policies and procedures
  • Assists Manager in enforcing organizational and departmental policies and procedures, protecting patient confidentiality, facilitating medical record access, and ensuring the integrity of the medical record
  • Assists Manager in ensuring timely and accurate completion of all Medical Record Amendment requests, Accounting of Disclosures requests, Release Restriction requests, Potential Identity Theft complaints, and MyChart Proxy access requests
  • Represents HIM on organizational teams, committees, task forces, and assumes leadership roles as applicable
  • Functions as a subject matter expert and departmental resource in HIM, serving as a liaison with other departments as needed
  • Assists the HIM Operations Manager with administrative duties and attends meetings in their absence
  • Maintains necessary office supplies, materials, or inventory in the absence of a Coordinator
  • Demonstrates maturity and accountability for job performance, supports the philosophy, objectives and goals of the HIM department, and assesses areas of personal and professional growth
  • Ensures compliance with federal and state laws and regulations on patient privacy and security
  • Maintains licensure/certification and skills by obtaining required professional continuing education
  • Performs other duties as assigned, but only after appropriate training

Required Qualifications

  • Associates degree in Health Information Management, Health Information Technology, healthcare administration, and/or business.
  • Minimum of 3 years healthcare experience providing oversight and direction to office staff and development of department policies and procedures


  • An approved equivalent combination of education and experience


  • Skilled in overseeing the efforts of individuals within the department
  • Ability to effectively involve department staff in the application of quality measurement and improvement tools
  • Skilled in fostering a positive workplace culture and building inclusive workplace teams
  • Ability to communicate in a professional, clear, succinct and tactful manner both verbally and in writing
  • Demonstrated ability to quickly learn new technologies and systems and provide instruction on complex processes
  • Ability to multi-task, appropriately prioritize, and work well in high-stress situations
  • Capable of assisting managers with decisions and activities
  • Ability to comfortably and effectively facilitate meetings and feedback sessions
  • Effective use of all Windows-based applications such as Word, Excel, OneNote and PowerPoint
  • Experience with Epic electronic medical record functionality and document imaging systems recommended
  • Knowledge of state and federal legislation for HIPAA Privacy, medical record access and release of information, and regulatory and accreditation

Preferred Qualifications

Registered Health Information Administration Technician (RHIT) or Registered Health Information Administration (RHIA)

Education Qualifications

Associates degree in Health Information Management, Health Information Technology, healthcare administration, and/or business.
