Job Description

Works with Administration and other Hospital, and Clinic, leadership to manage the medical record processes and procedures for the organization.  The HIM Supervisor is responsible for evaluating and improving processes in the HIM department and for storage and retrieval of health information and data.  Serves as a resource regarding medical record content and regulatory requirements.  Supervises the Health Information Management (HIM) staff in providing quality record services for the organization.  Assures availability of the medical records at all times.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Leads the HIM operations staff to ensure medical records are accurately and efficiently maintained through operating procedures and processes for:

  • Medical record reconciliation with patient admission and discharge.
  • Medical record analysis for deficiencies and completion of deficiencies.
  • Coordinate with Hospital Administration and Medical Staff Leadership to support timely completion of records by providers.
  • Supervises and participates in the coding of hospital inpatient and outpatient diagnosis and procedure coding.
  • Prepares facility statistics on a monthly basis.
  • Scanning paper records into the electronic health record (EHR).
  • Improve use of the EHR systems within the organization including order entry and optimal use of templates minimizing the need for scanning of outside documents or dictation/transcription.
  • As necessary, facilitate timely dictation and transcription of medical record documentation.
  • Oversee the Release of Information and medical record retention and destruction.
  • Oversee the credentialing process for all Hospital and Ancillary Medical Staff.
  • Oversee the monthly Medical Record review process per Medical Staff Regulations.

Complies with regulatory standards for medical record management to include state and federal requirements.

Maintains a high level of confidentiality.  Performs duties according to established Health Insurance Portability and Accountability Act (HIPAA) and facility confidentiality policies and procedures.

Assures orientation and training programs are present to ensure ongoing staff competence and evaluates staff performance according to facility guidelines.

Take part in EHR system and interface implementations and upgrades as needed.

Prepares all reports for facility committees as required.

Attend meetings as required and needed.

Assists Human Resources in the hiring, training, and firing of employees within the HIM department.

 

Supervisory Responsibilities

Supervises and directs the Health Information Management staff.

Required Qualifications

Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) certification through the American Health Information Management Association (AHIMA).  Must maintain certification requirements through AHIMA.

 

Preferred Qualifications

At least 3 years progressive previous HIM experience preferred.

***Those employees making less than $21, 981.54 gross per year will receive a $30 discount per pay period on the plan of their choice.

 

$25 copay for a doctor’s visit, all else is subject to deductible/coinsurance.  Preventative Care covered at 100%.  Plan also includes a $300 allowance (covered at 100%, then subject to deductible) for outpatient lab and radiology, a $300 allowance (covered at 100%, then subject to deductible) for advanced imaging, and a $1,000 allowance (covered at 100%, then subject to deductible) for accidental injury services for each person.

 

Vision Insurance—Vision Care Direct (must work at least 60 hours per pay period)

Eligible the first of the month following a 60 day waiting period

Vision Exam once per calendar year with $25 copay.  Allowances for prescription glasses and contacts.

Pension—403(b) through MassMutual

Eligible for voluntary contributions upon hire.  Employer contributions will begin after 1

year of service and 1000 hours (fully vested) on the next plan entry date (January 1 and

July 1).  Employer contribution is equal to 3% of employee’s compensation (this becomes effective July 1, 2020).

 

Long Term Disability—AICK (must work at least 72 hours per pay period and be considered full-time)

        Paid in full by the Hospital, eligible the 1st of the month after 60 days

 

Short Term Disability—AICK (must work at least 72 hours per pay period and be considered full-time)

Paid in full by the Hospital, eligible the 1st of the month after 60 days.

 

Life Insurance—AICK (must work at least 72 hours per pay period and be considered full-time)

Paid in full by the Hospital, eligible the 1st of the month after 60 days and is equal to 1

times base annual salary (maximum coverage of $125,000).  Additional life insurance can

be purchased for self, spouse, or children.

 

  Accidental Death & Dismemberment—AICK (must work at least 72 hours per pay period and be

  considered full-time)

        Paid in full by the Hospital, eligible the 1st of the month after 60 days, and is equal to 1

         times base annual salary.  Additional can be purchased for self, spouse, or children.
