As a Corporate Sr. Manager of Release of Information Management (ROI) in the department of Health Information Management (HIM), this opportunity supports ROI for all inpatient services found over three hospitals – Duke University Hospital on our Duke University Medical Center campus, Duke Regional Hospital and Duke Raleigh Hospital. In addition this role supports ROI for all outpatient services which is an extensive, geographically dispersed network of outpatient facilities that include primary care offices, urgent care centers, multi-specialty clinics and outpatient surgery centers.

Job Description

The Sr. Manager of HIM – Release of Information is responsible for assisting the Director by being directly accountable for the assigned functional unit(s) within HIM. The Sr. Manager will assure that opportunities to improve processes are identified and will work collaboratively across the HIM Department as well as across the organization to resolve. The Sr. Manager will assist the Director in establishing and executing strategies that assure efficiency, effectiveness and regulatory compliance of HIM functions.

Required Qualifications

  • Bachelor’s Degree, preferably in: Information Management, Health Informatics, Medical Record Science, Medical Record Administration, or related field. Master’s Degree in Business or Health Administration preferred.
  • Eight (8) years of progressive management experience in HIM or consulting including a minimum of four (4) years in an acute care hospital setting.
  • Previous Epic experience preferred
  • Registered Health Information Administrator (RHIA) required

Preferred Qualifications

RESPONSIBILITIES:
Plan, direct and coordinate activities of the functional unit managed [50% of time spent]

  • Directs the planning, organizing and coordination of all administrative and operational activities of the functions in assigned area of accountability
  • Assists the Director in planning, developing and monitoring budgets, including personnel, capital equipment and operations
  • Designs and implements systems and processes to assure continuous improvement of HIM functions
  • Assists Director in establishing and executing strategy; develops short and long range goals, objectives and plans and assures implementation of these
  • Maintains and applies knowledge of State and Federal Laws and other regulatory requirements such as:
     Health Information Portability and Accountability Act
     North Carolina State Privacy Statutes
     Joint Commission Standards
     Centers for Medicare and Medicaid Services
     North Carolina State requirements for record content, management, retention and destruction

Manage and Supervise Staff [20% of time spent]

  • Oversees and participates in recruitment and selection of staff
    Assures effective onboarding, training, monitoring of staff
  • Plans, directs and monitor processes associated with the achievement of productivity and   associated with work unit tasks
  • Plans, directs and monitor processes associated with the achievement of productivity and quality expectations associated with work unit tasks
  • Assures that appropriate standards of performance are in place with regard to productivity, quality and overall quality control and that appropriate corrective actions are taken as needed to address variances
  • Creates monthly monitoring reports that document trends in performance of the work unit(s) assigned
  • Plans, directs and monitors processes that contribute to a positive work culture and encourages 360 degree communication and timely and effective problem solving

Communication and Collaboration [25% of time spent]

  • Daily interactions with customers within the HIM Department, within entities served, other departments, medical staff, and other customers
  • Collaborates with DHTS to problem solve system issues, including logging issues in Service Now; performing testing; identifying reporting needs and educating others when system changes are implemented
  • Creates and executes educational initiatives associated with HIM strategies
  • Effectively communicates verbally and in written form, including provision of updates to Director, Sr. Leadership and stakeholders across the health system regarding operation of work unit, project status,
    and staff issues

Other [5% of time spent]

  • Performs other related duties incidental to the work described herein and performs other related work as required

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of:

  • Principles and practices of function to be managed
  • Medical terminology
  • Federal, state and local regulations governing Health Information Management

Ability to:

  • Compile complex records and reports
  • Achieve thoroughness and accuracy in task completion

  • Analyze detailed information to determine appropriate compliance with federal and state regulations
